PURCHASE AND FULFILLMENT POLICY:

1. Ticket Processing and Confirmation

Order Confirmation

  • All ticket purchases are subject to acceptance and event capacity
  • Registration confirmation will be sent via email within 24 hours of purchase
  • Confirmation includes ticket details, event information, and check-in instructions
  • We reserve the right to cancel registrations due to pricing errors, sold-out status, or suspected fraudulent activity
  • Standard Processing: Tickets processed and confirmed within 24 hours

2. Event Access and Check-In

Event Details

  • Conference Date: January 20-22, 2026
  • Venue: Dena'ina Civic and Convention Center - Anchorage, AK
  • Check-in Hours: 730AM-8AM
  • Event Hours: 8AM-4PM 

Ticket Fulfillment

  • Digital Tickets: Included with Confirmation email
  • QR Code Access: Unique code for each attendee included in ticket email
  • Badge Pickup: Required at venue registration desk with valid photo ID
  • Mobile App Access: included with Confirmation Email

What's Included in Your Ticket

  • Access to all conference sessions and keynote presentations
  • Networking breaks and refreshments 
  • Access to conference mobile app

Ticket Transfers

  • Tickets may be transferred to another person by the original purchaser until (badge printing date)
  • New attendee must meet same registration requirements (e.g., student status for student tickets)
  • Both original purchaser and new attendee will receive confirmation emails

Transfer Process

  1. Contact [email protected] to initiate transfer
  2. Provide new attendee's complete information
  3. Transferee must be in same discount category as original holder (i.e. student --> student)
  4. New confirmation sent to transferred attendee

5. Cancellations and Refunds

Cancellation Policy

  • More than 60 days before event: Full refund minus processing fee
  • 30-60 days before event: 50% refund
  • 15-29 days before event: 25% refund
  • Less than 15 days before event: No refund available

Refund Process

  • Refund requests must be submitted via email to [email protected]
  • Include order confirmation number and reason for cancellation
  • Refunds processed within 10-15 business days of approval
  • Refunds issued to original payment method only
  • Processing fees are non-refundable

Special Circumstances

  • Medical and family emergency refunds considered on case-by-case basis with documentation

6. Event Changes and Cancellations

Schedule Modifications

  • Conference schedule, speakers, or session content may change at any time
  • Major changes communicated promptly via email and in-app communications
  • Minor schedule adjustments may occur without advance notice

Event Cancellation by Organizer

  • Complete Cancellation: 100% refund of ticket price
  • Event Postponement: Choice of attending new date or receiving full refund

Force Majeure

  • Not liable for cancellation due to circumstances beyond our control including:
    • Natural disasters, extreme weather
    • Government regulations or restrictions
    • Venue emergencies or closures
    • Public health emergencies
  • Best effort made to provide alternative arrangements or refunds when possible
  • Not responsible for attendee travel or accommodation costs

7. No-Show Policy

Non-Attendance

  • No refunds provided for no-shows or failure to attend

Late Arrival

  • Late check-in permitted during event hours
  • Missed sessions cannot be made up or credited
  • Full conference access provided for remaining sessions

8. Technology and Digital Services

Conference Mobile App

  • Whova pp available upon registration
  • Features include: schedule, speaker bios, attendee networking, venue maps
  • Technical support provided during conference hours
  • Compatible with iOS and Android devices

Wi-Fi and Connectivity

  • Complimentary guest Wi-Fi provided throughout venue
  • Bandwidth limitations may apply during peak usage

9. Health, Safety, and Conduct

Health Requirements

  • Attendees must comply with all venue and local health regulations
  • We reserve the right to deny entry for non-compliance with safety requirements

Code of Conduct

  • Professional behavior expected at all times
  • Harassment or inappropriate conduct will result in removal without refund
  • Compliance with venue rules and regulations required

Liability

  • Attendance constitutes acceptance of standard event liability waiver
  • Attendees participate at their own risk
  • Emergency medical information recommended during registration

10. Photography and Recording

Event Photography

  • Professional photography and videography may occur during the event
  • Attendance grants permission for use of your likeness in promotional materials
  • Attendees may opt out by notifying registration desk

Personal Recording

  • Personal photography permitted in designated areas only
  • Audio/video recording of sessions prohibited without written permission
  • Social media sharing encouraged with official event hashtag
